  • Website interaction data: IP address, browser type, pages visited, referral source (collected via analytics tools)
  • Communications: emails, phone call notes, enquiry form submissions, and correspondence
  • Cinema advertising client data: business name, contact person, campaign details, screening schedules

We do not collect sensitive information (such as health, political, or religious information) unless directly relevant to a specific production project, provided voluntarily, and with your explicit consent.

3. How We Collect Personal Information

We collect personal information:

  • Directly from you: when you enquire about our services, engage us for a project, sign a production agreement, complete a consent form, or communicate with us by phone, email, or in person.
  • Through our website: when you submit a contact or enquiry form, or when analytics tools record browsing data.
  • From third parties: where a referral partner, agency, or cinema venue (e.g. BIGSCREEN Cinemas) provides your contact details with your knowledge, or where publicly available business information is used for lead generation purposes.
  • During production: when we capture photographs, video footage, or audio recordings as part of an agreed project scope.

Where practicable, we will collect personal information directly from you. If we receive unsolicited personal information that we have no legitimate need for, we will destroy or de-identify it.

4. Why We Collect, Hold, and Use Personal Information

We collect and use personal information for the following purposes:

  • To provide video production, photography, editing, colour grading, and related creative services
  • To produce and deliver cinema advertising content
  • To respond to enquiries and provide quotes
  • To manage invoicing and payments
  • To communicate project updates, schedules, and deliverables
  • To comply with legal and contractual obligations
  • To administer AI-assisted content generation (image, video, or voice) where separately authorised under a specific consent form
  • To improve our services and website
  • To market our services where permitted (e.g. category-based outreach to local businesses for cinema advertising, using publicly available contact information)

We will not use or disclose personal information for a purpose other than the purpose for which it was collected, unless you consent, or an exception under the APPs applies.

5. Disclosure of Personal Information

We may disclose personal information to:

  • Cinema partners: BIGSCREEN Cinemas Hervey Bay, for the purpose of scheduling and delivering cinema advertising campaigns
  • Accounting software: MYOB, for invoicing and financial record-keeping
  • AI generation platforms: such as Higgsfield or other cloud-based tools, only where you have provided specific written consent (via our AI Image Generation Consent & Likeness Release or AI Voice Replacement Consent & Usage Agreement)
  • Cloud service providers: website hosting, email, project management, and file storage providers as necessary to operate our business
  • Professional advisors: accountants, legal advisors, or insurers as required
  • Regulatory bodies: where required by law (e.g. ATO, ASIC, OAIC)

We do not sell, rent, or trade personal information to third parties for marketing purposes.

6. Cross-Border Disclosure (APP 8)

Some of the third-party services we use may store or process data on servers located outside Australia, including in the United States. These may include:

  • Cloud-based AI generation platforms
  • Website hosting and analytics providers
  • Email service providers
  • Project management and file storage services

Before disclosing personal information to an overseas recipient, we take reasonable steps to ensure the recipient handles personal information in a manner consistent with the APPs. Where specific consent is required (e.g. for AI likeness processing), we will inform you of the overseas disclosure and obtain your written authorisation.

7. AI-Assisted Content Generation

Where we use artificial intelligence tools to generate or modify images, video, or voice content incorporating your likeness or voice, we operate under specific consent frameworks:

  • AI Image Generation: governed by our Consent & Likeness Release form, which limits use to the named project and discloses the third-party platform used.
  • AI Voice Replacement: governed by our Consent & Usage Agreement, which authorises AI voice processing within DaVinci Resolve Studio on local hardware (no cloud upload).

In all cases:

  • Only the minimum data required is uploaded to any external platform
  • Your likeness or voice data is not retained on third-party platforms beyond what is necessary for processing
  • You retain the right to review AI-generated content before public release where feasible
  • Consent may be revoked prior to public release of the deliverable

8. Website, Cookies, and Analytics

Our website may use cookies and analytics tools (such as Google Analytics or similar) to collect de-identified usage data including pages visited, time on site, referral source, and general geographic location.

This data is used to understand how visitors interact with our site and to improve its content and functionality. It does not personally identify you unless you voluntarily submit personal information through a form.

  • Local storage on dedicated network-attached storage systems with restricted access and redundancy (SHR)
  • Access restricted to authorised personnel (sole operator business)
  • Secure deletion or de-identification of personal information no longer required for any purpose

11. Data Retention

Production assets (footage, photographs, project files) are retained for a reasonable period consistent with industry practice to allow for future client requests, re-edits, or archival purposes. You may request deletion of your production materials at any time, subject to any legal or contractual retention obligations.

You have the right to:

  • Access the personal information we hold about you
  • Request correction of any information that is inaccurate, out of date, incomplete, irrelevant, or misleading

To make an access or correction request, contact us using the details below. We will respond within 30 days. There is no charge for making a request or for the correction of information. We may charge a reasonable fee for providing access if the request requires significant effort to compile.

If we refuse access or correction, we will provide written reasons and inform you of your right to complain.

In the event of a data breach that is likely to result in serious harm to any individual whose personal information is involved, we will:
